Mailing-Listen-FAQs for Admins

This document shows how to subscribe and unsubscribe members to a mailing list. We show this by using the mailing list „Testme445“ as an example. Use the name of your mailing list instead of „Testme445“ or „LISTNAME“.

1 Subscribe members of a newsletter by list admin

The following chapters are showing the newsletter invitation process. The mailinglist process is nearly the same.

1.1 Invitation

The list admin opens the admin interface of the mailing list via the URL https://mlist.tugraz.at/mailman/admin/LISTNAME.

LISTNAME has to be substituted with the name of the list you are working on. We show this by using the mailing list „Testme445“ as an example.

After you logged in with your password you will see following configuration site:

Click at "Membership Management …" and then in the submenu "Mass Subscription".

Now enter manually the mail addresses which should get an invitation to subscribe the mailing list. Optionally you can upload a .csv file which contains the mail addresses which should get an invitation to subscribe the mailing list.

In the second text box you can insert a text which will be added to the standard text of the invitation.

1.2 User receives an invitation mail

Subject: Your confirmation is required to join the Testme445 mailing list

YOUR CONFIRMATION IS REQUIRED You are invited to the newsletter testme445 REQUEST: You are requested to send your confirmation by clicking on the following website: https://mlist.tugraz.at/mailman/confirm/testme445/ab8fc5a3643a4e481f927a64e 82fb6871eccb1c4 IT IS IMPORTANT THAT YOU PLEASE CLICK ON THE LINK ABOVE IN ORDER TO RECEIVE testme445 INFORMATION. If you do not wish to receive any information from newsletter testme445, please ignore this email. For questions please contact testme445-owner@mlist.tugraz.at

1.3 Confirmation subscription request

After clicking the confirmation link one will be forwarded to the following webpage.

1.4 Subscription completed

After clicking the button "Subscribe to list Testme445" the user will be forwarded to a web page which shows that the subscription was successful.

1.5 Membership Login Page

The user has the opportunity to click on "proceed to your membership login page". The only thing that will be possible there is to unsubscribe from the newsletter.

1.6 User receives a welcome mail

Subject: Welcome to the "Testme445" mailing list

Welcome to the Testme445@mlist.tugraz.at newsletter! If you ever want to unsubscribe you can find a link on the general information page: https://mlist.tugraz.at/mailman/listinfo/testme445

1.7 General Information Page

The link takes the user to the "General Information Page"

1.8 Unsubscribe Page

If the user pushes the "Goto Unsubscribe Page" button, s/he will be taken to a page like this:

1.9 Message Box – Deregistration

User enters the email address which should be removed from the newsletter.

1.10 Unsubscribing needs confirmation page

After user pushed the OK button the following page will inform that unsubscribing needs confirmation by the user. This is necessary to assure that one is only able to unsubscribe email addresses which belong to him/her.

1.11 Email - Confirmation is required to leave

Subject: Your confirmation is required to leave the Testme445 mailing list

YOUR CONFIRMATION IS REQUIRED Newsletter removal confirmation notice for newsletter testme445 We have received a request for the removal of your email address vorname.nachname@tugraz.at from the testme445 newsletter. Please click on the following link in order to confirm your removal from our mailing list: https://mlist.tugraz.at/mailman/confirm/testme445/139e43cc170251975ebd73be2 a67d849be95fd8b If you do not wish to be unsubscribed from this newsletter, please simply disregard this message. If you think you are being maliciously unsubscribed to the list, or have any other questions, send them to testme445-owner@mlist.tugraz.at.

After clicking the button "Unsubscribe" the user will be forwarded to a web page which shows that the unsubscription was successful.

1.14 Unsubscribed from - Email

Additionally, the user receives following mail:

2 User subscribes himself for a newsletter

The following chapters are showing the newsletter subscription and unsubscription processes. The mailinglist processes are nearly the same.
User receives or finds the link to the General Information Page of an newsletter. It looks like this: https://mlist.tugraz.at/mailman/listinfo/testme445

2.1 General Information Page

User opens the General Information Page

2.2 Subscribe Page

User pushed the "Goto Subscribe Page" button.

2.3 Message Box – Registration

User enters the email address which should be added to the newsletter.

2.4 Subscription needs confirmation link

After user pushed the OK button the following page will inform that subscription needs confirmation by the user. This is necessary to assure that one is only able to subscribe email addresses which belong to him/her.

2.5 Email - Confirmation is required to subscribe
